Back Office

TravelBrisk Vault — the back office that runs the books

Queue management, BSP reconciliation, ADM/ACM tracking, fare watch, and unused-ticket recovery in one place. Stop hunting for HX segments and missing refunds — Vault keeps the receipts.

What Vault handles for your agency

Five back-office workflows that quietly bleed money — automated, audited, and always running.

1

GDS Queue Management

Live queue counts from Amadeus and Sabre with drill-down into individual PNRs. Know what's pending action before the supplier does.

  • Amadeus queue polling
  • Sabre queue polling
  • Per-agent assignment
  • Action-required filters
2

HX Auto-Cancel

Schedule queue auto-cancel of HX (host-cancelled) segments before they generate phantom segment fees. Configurable rules per office.

  • Daily auto-run
  • Per-office rules
  • Skip-list overrides
  • Audit log per cancellation
3

BSP HOT File Parsing

Drop your weekly BSP HOT file in. Vault parses every transaction, reconciles against your booking ledger, and flags discrepancies.

  • DISH23 format support
  • Per-airline grouping
  • Discrepancy detection
  • Export to CSV / Excel
4

ADM / ACM Tracking

Every Agency Debit Memo and Credit Memo from BSP imports lands in a workflow with status, owner, dispute notes, and resolution timeline.

  • Status workflow
  • Dispute drafting
  • Per-airline analytics
  • Recovered-amount reporting
5

Fare Alerts & Watches

Set a target price for any route. Vault polls supplier APIs in the background and notifies your team when the fare drops.

  • Multi-route watches
  • Customer-side alerts
  • Email + in-app notifications
  • Watch history + analytics
6

Unused Ticket Recovery

Identify cancelled tickets with residual value before they expire. Filter by airline, validity window, and customer for outreach campaigns.

  • Expiry calendar
  • Validity tracking
  • Customer outreach lists
  • Recovered-value reporting
Reconciliation

Your BSP statement, decoded automatically

Most agencies treat the weekly BSP HOT file like a black box — they pay it and move on. The discrepancies are buried in 8,000 lines of fixed-width DISH23 format that no one has the bandwidth to audit by hand.

Vault parses every line, joins it to the matching booking in your system, and surfaces only the rows that don't match: missing tickets, segment fees you didn't expect, refund delays, ADMs you didn't see coming. The job that took your finance team a day takes 90 seconds.

ADM management with a paper trail

Airline Debit Memos arrive without warning and resolve at the speed of an airline back-office team. By the time your finance manager hears about one, the original booking agent has moved on and nobody remembers the context.

Vault assigns every ADM to an owner the moment it lands, surfaces the original booking and agent, and gives you a dispute-drafting workspace with all relevant evidence pre-attached. Agencies running Vault overturn 62% of disputed ADMs versus an industry average closer to 25%.

Recovery

Unused tickets are revenue, not a footnote

Cancelled or partially-used tickets sit on airline ledgers with residual value and an expiry date. If your team isn't running an active recovery program, that money quietly disappears at the validity deadline.

Vault tracks every unused ticket in your system, surfaces the value, the validity window, and the original customer, then generates outreach lists you can hand to your sales team. The agencies we work with recover an average of $48,000/year in residual value that would otherwise have expired.

Built for agencies that ticket at scale

🏢

Mid-size IATA agencies

50+ tickets per day. The volume where manual reconciliation breaks down but a finance hire isn't yet justified.

🌍

Multi-branch operators

Branches in different cities or countries. One Vault instance gives Group HQ visibility into every office's BSP and ADM exposure.

🤝

BSP-settled wholesalers

Agencies operating under BSP scrutiny who can't afford to miss an ADM dispute window or have HX segments slip through the cracks.

Frequently asked questions

Does Vault replace our existing back-office software?

It can. For most agencies it replaces a combination of spreadsheets, manual queue checks, and an aging back-office tool. Some agencies run it alongside accounting software like Sage or QuickBooks — Vault handles the GDS-side workflow and exports clean data into the accounting system.

Which GDS does Vault support?

Amadeus and Sabre out of the box. Travelport (Galileo/Worldspan) support is in beta. ADM/ACM and BSP HOT parsing are GDS-agnostic — Vault works with any IATA agency.

How does HX auto-cancel work?

Vault polls your queues on a schedule you set (typically nightly), identifies segments returned with HX status from the airline, and queues them for cancellation in the GDS — within rules you configure (skip-list per airline, time-of-day windows, etc.).

Is the BSP HOT file the only reconciliation format supported?

DISH23 (the current IATA standard) is the primary format. Legacy DISH7 files are parsed too. Most regions globally are on DISH23 as of 2024.

Do I need to be an IATA agency to use Vault?

Most Vault features assume you ticket through BSP. Non-IATA agencies can still use queue management, fare alerts, and unused-ticket tracking — but BSP reconciliation and ADM management won't apply.

Is there a setup fee?

No. You connect your GDS credentials, upload a recent BSP HOT file as a sanity check, and start. Most agencies are operational within an hour.
